Volunteer Bond Information
Millwoods Hockey is a volunteer-based organization built on the energy and commitment of our hockey families. To ensure a successful season and shared responsibility, all families are required to participate in our program.
Each member is required to complete a minimum amount of volunteer time throughout the season. This helps ensure a fair distribution of responsibilities and supports the delivery of consistent, high-quality programming for all players.
While many families generously contribute their time, there are periods when additional support is needed. To help ensure volunteer requirements are met, a volunteer bond (deposit) program is in place to encourage participation.
Program Requirement
For the 2026–2027 season, each family must complete: - Per PLAYER
- 1 Association Credit (supporting the larger hockey community)
- 1 Team Credit (supporting their child’s team directly)
Each credit equals a minimum of four (4) hours of volunteer service. Volunteer credits must be earned during the current season and do not carry over.
The volunteer bond commitment will be as follows:

As you know, this is a mandatory fee, with an opt-out option available at a cost of $400.00. For parents who have chosen to opt out, that $400.00 will be deposited directly into the team account December 1( providing the parent who selected to Opt Out ample time to change their mind) , and the team will receive a list of those families.
Please note:
The opt-out only applies to team volunteer positions (e.g., jersey parent, team manager, treasurer, etc.) and your association credit requirement.
It does not exempt a parent from participating in team fundraising activities such as 50/50 draws, raffle tickets, chocolate sales, and similar initiatives.
Families that opt out will still be expected to contribute to fundraising efforts as agreed upon by the team.
The $400.00 deposited into the team account must be used specifically for team resources or roles that would otherwise require volunteer hours.
Additionally:
The opt-out fee can be used to cover direct expenses related:
- Filling volunteer positions, such as hiring time/scorekeepers.
- Used for development ice for the team. This is the only accepted expense outside of volunteer-related costs.
The funds cannot be used for apparel or to offset a family’s fundraising commitments.
Any unused funds must be returned to Millwoods Hockey at the end of the season. We ask that each team track/record the expenditure of the $400.00 separately in their team budget.( in case at any time the board would request a review ).
Note:
- When registering, you will also be given the option of opting out of volunteering and paying the required volunteer opt-out fee as follows:
- $400.00 per player for U7-U13
- U7 players who select to Opt Out the $400 fee will go into the Player Assistance Fund each season.
- Families may opt out by paying a $400 fee per player (U7–U13) at the time of registration.
Team Volunteer Credits
These roles directly support your child’s team.
Team volunteering credits can be earned in the following roles ONLY:

Deposit Cheque and Opt-Out Process
Volunteer deposits are collected during registration. Please ensure:
- Cheques are non-dated
- Cheques are payable to MWHA
- Include your player's full name in the memo line
- $400.00 per player
- When registering online, you will receive an email with instructions on how and where to mail your volunteer cheque if you do not have one on file.
Deposit cheques are held by the Registrar and will be carried forward to future seasons unless:
- The volunteer commitment has not been met then the cheque will be cashed.
- The player is no longer with Millwoods Hockey - then the cheque will be shred.
- If a family declines the opportunity to volunteer, the deposit cheque will be cashed.
Volunteer Tracking
For the 2026–2027 volunteer tracking season, we’ll be introducing a new process for tracking both association and team credits.
As a reminder, each player is required to complete two credits: one association credit and one team credit. We will be working closely with team managers this upcoming season to support the tracking of team-related requirements.
In the meantime, Millwoods Hockey has implemented a new tracking method. You will need the Hockey Canada ID (also referred to as your HCR number) for each player. This is a unique identifier and can be found by logging into your Spordle account where you registered your player, or on the registration receipt you received upon completing the player registration. If you have more than one player, each will have their own Hockey Canada ID(HCR).
Credit Tracking
- Association credits will be updated as they are completed
- Team credits will be updated twice once in December and again at the end of February, so you’ll be able to see if any credits are still outstanding at those times.
- Players will only appear in the search once their HCR number has been entered in advance. The HCR number will be entered upon registration, or earlier if the association credit is completed prior to registration.
There will be no need to email the association to check your credit status, as all information will be available through the link provided below.

Volunteer Opportunities – FAQ
How do I get notified of volunteer opportunities?
When you complete online player registration, you will be asked to indicate which volunteer roles you are interested in for the season. This information helps us coordinate opportunities as the season progresses. Please note that selecting a role does not guarantee placement you will still need to sign up when opportunities are available.
Team participation preferences will be shared at the team parent meeting. The team manager will provide this information to the Registrar (seeraadmin@shaw.ca) to ensure volunteer activity is accurately tracked. Millwoods Hockey event sign-up opportunities will be emailed with details on required positions and the sign-up process. There are a variety of tasks available, so every family can contribute in some way.
How are volunteer jobs tracked?
Volunteer positions are recorded by the Millwoods Hockey Registrar and Team Managers. Team Managers submit a list of completed team commitments to the Registrar on December 1 and March 15 each season.
If I complete all my volunteer commitments, when will I receive my cheque/deposit back?
Cheques are no longer returned or shredded. They remain on file for the duration of the player’s involvement with Millwoods Hockey.
What if I have more than one child in Millwoods Hockey?
If you have more than one player in Millwoods Hockey the deposit is one cheque per player. For U7-U11 - $400.00 per player.
